THE DOCUMENT PROCESS AUDIT

Our Document Process Audit (DPA) is designed to gather document-related information across your organisation. The DPA identifies the documents and templates; processes, systems and interdependencies for the creation, delivery and management of business-critical outbound communications to your customers.

Often our clients need specific expertise in gathering a 360-degree view of their customer communications – a business, customer and cost perspective – that can help you craft an informed business case. Importantly it establishes clear and measurable baselines that can be used to measure project progress for any new implementations or document re-design and re-write initiatives.

With decades of experience in document and communication technologies, across many different vendors and with a truly agnostic approach, we can help you simplify and improve your document workflows and make suggestions and recommendations to optimise existing approaches or consider new solutions.

3-Step Process

a detailed evaluation & baseline for your customer communications – from data to documents to distribution.

Step 1. Discovery

we will meet with your experts to understand & document your current state. We will investigate the generating core systems, the data formats and all the delivery channels – (print, electronic).

We will compile a register of your templates and documents, capture costs and impacts; and document any areas we see for improvement.

Step 2. Analysis

we will review and compile the information gathered in Step 1.

Step 3. Report

The results of information gathering, analysis of your document composition processes, and their costs will be presented in a Current State Report (CSR).

Any changes or improvements identified will be costed for your business case or ROI purposes. The CSR is intended to allow you to make informed decisions as to next steps in improving customer communications processes. And give you a baseline of your current costs.
